Frequently asked questions

Tap a question to see the answer.

Can I create and send invoices with MapleInvoice? +

Yes. MapleInvoice lets you build professional invoices in minutes using reusable templates, your own logo and brand colours, line items, taxes, and payment terms. You can preview the PDF and send it to your customer as a hosted link or attachment.

Does MapleInvoice support recurring invoices? +

Yes. You can set up recurring schedules so MapleInvoice automatically generates and sends invoices on a repeating cycle (for example weekly, monthly, or quarterly) for retainers, subscriptions, and memberships, without re-entering the details each time.

Can my customers pay invoices online by credit card? +

Yes. Customers can pay an invoice online by card through MapleInvoice. Payments are processed securely by Stripe, and the invoice is marked paid and reconciled automatically once the payment clears.

Does MapleInvoice support Interac e-Transfer and pre-authorized debit? +

Yes. MapleInvoice supports Canadian payment methods, including Interac e-Transfer and pre-authorized debit (PAD) directly from a customer's bank account, so you can collect payments the way Canadian businesses and their customers already pay.

Can MapleInvoice read Interac e-Transfer notification emails automatically? +

Yes. MapleInvoice can ingest the Interac e-Transfer notification emails from your bank, either pasted in or pulled from a connected inbox, and match the payment to the right invoice using the reference number, so you do not have to record e-Transfers by hand.

Does MapleInvoice handle GST/HST and provincial sales tax? +

Yes. MapleInvoice has built-in Canadian tax settings that apply GST, HST, and provincial sales tax correctly based on your configuration, so the right tax appears on each invoice and in your reports.

Can MapleInvoice follow up on overdue invoices automatically? +

Yes. AI Collections follows up on past-due invoices for you with a polite, owner-reviewed escalation ladder, email first, then SMS, then a handoff to a person, until the invoice is paid or a payment plan is agreed. You stay in control of when live reminders go out.

Can I offer customers a payment plan? +

Yes. MapleInvoice lets you split a larger invoice into a payment plan with scheduled instalments. Customers can accept the plan online, and MapleInvoice tracks each instalment against the balance.

Does MapleInvoice support multiple currencies? +

Yes. MapleInvoice supports multi-currency invoicing, so you can bill customers in their currency (including USD) and see your reporting normalized for a clear picture across currencies.

Do my customers get a portal to view and pay invoices? +

Yes. Each invoice has a secure, hosted link your customers can open to view the invoice, download the PDF, pay online, and manage their saved card, no login or account required.

Can I add my team to MapleInvoice? +

Yes. You can invite finance staff and teammates to manage customers, invoices, payments, and receipts together, with paid plans adding more team members and higher limits as you grow.

What reports does MapleInvoice provide? +

MapleInvoice gives you exportable reports covering invoices, payments, outstanding balances, tax collected, and collections performance, so you can stay on top of cash flow and hand clean numbers to your bookkeeper or accountant.

Is there a free plan? +

Yes. MapleInvoice has a free plan so you can start invoicing at no cost. Paid monthly plans add more team members, higher invoice volumes, and automation such as AI Collections when you need them.

Is MapleInvoice Canadian? +

Yes. MapleInvoice is Canadian founded, Canadian owned, and Canadian serviced. It is built for Canadian businesses, priced in Canadian dollars, handles GST/HST and provincial tax, supports Interac e-Transfer and pre-authorized debit, and is designed with Canadian privacy rules (PIPEDA) in mind.

Can I customize my invoice templates and branding? +

Yes. MapleInvoice uses reusable invoice templates you can brand with your own logo, colours, line items, taxes, payment terms, and notes. Save a template once and reuse it for every customer, so each invoice you send looks consistent and professional without rebuilding it from scratch.

What is the difference between recurring invoices and subscription billing? +

A recurring schedule re-generates and re-sends the same invoice on a set cycle (weekly, monthly, quarterly, or custom) for retainers and memberships. Subscription billing in MapleInvoice charges a saved payment method automatically each cycle, so subscribers are billed and reconciled hands-free. You choose whichever fits how you bill.

Does MapleInvoice send automatic payment reminders? +

Yes. MapleInvoice can send reminders around an invoice's due date so customers are nudged before and after a payment is due. Reminders are separate from AI Collections: reminders are gentle due-date prompts, while AI Collections runs a full owner-reviewed escalation ladder once an invoice is genuinely overdue.

Can customers save a card for future invoices? +

Yes. From the hosted invoice link a customer can pay and securely save a card for next time, so future invoices and subscription charges can be paid faster. Card details are held by the payment processor, not stored on your device, and the customer manages their saved card from the same hosted page.

How does MapleInvoice match an Interac e-Transfer to the right invoice? +

When you send an invoice, MapleInvoice includes a reference number. As Interac e-Transfer notification emails come in (pasted in or pulled from a connected inbox), MapleInvoice reads the amount and reference and matches the payment to the correct invoice automatically, marking it paid so you do not reconcile e-Transfers by hand.

Can I sign or get sign-off on documents in MapleInvoice? +

Yes. MapleInvoice supports signature requests, so you can capture an electronic signature on items such as a payment-plan agreement before work or instalments begin. The signed record is stored against the relevant invoice or plan for your reference.

How does MapleInvoice pricing work? +

MapleInvoice has a free plan and paid monthly plans, all priced in Canadian dollars. Paid tiers raise your invoice volume, add team members, and unlock automation such as AI Collections. You upgrade only when you need more, and you can change plans as your business grows.

What are AI tokens and how are they used? +

Some automation in MapleInvoice -- such as AI-drafted collections messages -- uses AI tokens from your MapleWorkSuite account balance. Each plan includes an allowance, and your current token balance is visible in your account. This keeps AI features predictable and tied to a single MapleWorkSuite balance across the suite.

Can I export my data and reports? +

Yes. MapleInvoice gives you exportable reports for invoices, payments, outstanding balances, tax collected, and collections performance, plus PDF copies of every invoice. Your data stays yours, so you can hand clean numbers to your bookkeeper or accountant or keep your own records at any time.

What happens to my data if I cancel? +

You stay in control of your data. Before you cancel you can export your invoices, payments, and reports so you keep a full record. MapleInvoice retains data in line with Canadian privacy rules (PIPEDA) and our retention policy; contact support if you need help exporting or removing your account data.

How does MapleInvoice keep my data secure? +

MapleInvoice is built with Canadian privacy rules (PIPEDA) in mind. Card payments are handled by a secure payment processor rather than stored by us, access is account-controlled for you and your team, and collections messages are drafted and logged for review before anything is sent. Your billing data is treated as private throughout.

Does MapleInvoice work with MapleExpense and the rest of MapleWorkSuite? +

Yes. MapleInvoice is part of MapleWorkSuite, so it shares a single sign-on and account with companion tools like MapleExpense. You can manage income in MapleInvoice and expenses in MapleExpense under one login, giving you a cleaner end-to-end picture of your business finances.
