About MapleInvoice

Canadian invoicing, payments, and collections in one place.

MapleInvoice is a Canadian-built, cloud-based invoicing platform. It helps businesses create professional invoices, bill on a recurring schedule, accept online and Canadian payments, handle GST/HST correctly, and follow up on overdue accounts automatically -- all priced in Canadian dollars.

What is MapleInvoice?

MapleInvoice is invoicing software for Canadian businesses. You build professional invoices in minutes, send them as a secure hosted link or PDF, and let MapleInvoice track who has paid and who has not. It brings invoicing, payments, taxes, and overdue follow-up into a single workflow.

It is designed for freelancers, trades, agencies, clinics, and small-to-mid-sized teams who want to stop chasing payments by hand. Instead of juggling spreadsheets, a separate payment tool, and email reminders, you manage the whole billing cycle in one place -- from the first invoice to the final payment -- with clean numbers you can hand to your bookkeeper or accountant at year end.

How does MapleInvoice handle invoicing and recurring billing?

You create invoices from reusable templates with your own logo, brand colours, line items, taxes, and payment terms. For retainers, subscriptions, and memberships, recurring schedules generate and send invoices automatically on a repeating cycle, so you never re-enter the same details.

Recurring schedules can run weekly, monthly, quarterly, or on a custom cadence, and you can pause, resume, or cancel any schedule as the customer relationship changes. Each generated invoice still gets its own hosted link and PDF, so a recurring customer receives the same clear, professional bill every cycle. For larger one-off invoices, you can also split the balance into a payment plan with scheduled instalments that the customer accepts online, and MapleInvoice tracks each instalment against the outstanding balance.

What payment methods can my customers use?

Customers can pay online by credit card, with card payments processed securely by Stripe. MapleInvoice also supports the Canadian methods businesses already use -- Interac e-Transfer and pre-authorized debit (PAD) directly from a customer's bank account -- so people can pay the way they prefer.

When a card payment clears, the invoice is marked paid and reconciled automatically. For Interac e-Transfer, MapleInvoice can read the notification emails from your bank -- pasted in or pulled from a connected inbox -- and match each payment to the right invoice using its reference number, so you do not have to record e-Transfers by hand. Each invoice has a secure hosted link your customer can open to view the bill, download the PDF, pay, and manage a saved card, with no login or account required.

Does MapleInvoice handle GST/HST and provincial tax?

Yes. MapleInvoice has built-in Canadian tax settings that apply GST, HST, and provincial sales tax based on how you configure your account. The correct tax appears on every invoice and flows into your reports, so your tax totals stay accurate without manual calculation.

Because tax is handled at the invoice level, your reporting shows tax collected alongside invoices, payments, and outstanding balances. That makes remittance and year-end far simpler: you can export clean reports covering invoices, payments, outstanding balances, tax collected, and collections performance, then hand those numbers to your bookkeeper or accountant. Multi-currency invoicing is supported too, so you can bill customers in their currency (including USD) while keeping a clear, normalized view of your books.

How does MapleInvoice help me get paid on overdue invoices?

AI Collections follows up on past-due invoices for you. When an invoice goes overdue it starts a polite, owner-reviewed escalation ladder -- email first, then SMS, then a handoff to a person -- until the invoice is paid or a payment plan is agreed. You stay in control of when live reminders go out.

The collections workflow is built with Canadian privacy rules (PIPEDA) and provincial debt-collection expectations in mind, and each message is drafted and logged for your review before anything is sent. A collections dashboard reports on recovery rate, dollars recovered, average days to payment, per-channel effectiveness, and how much was resolved automatically versus by a person. Every plan -- including Free -- can start a number of collection workflows each month at no extra cost, and higher plans raise that limit.
